Job Title: Executive Assistant and Constituent Liaison to the Mayor
Salary range: Grade 125 / $24.86 per hour
Job Description:
The City of Dover is currently seeking qualified applicants for the position of Executive Assistant and Constituent Liaison to the Mayor. The primary duties are to provide administrative, organizational, and clerical support directly to the Mayor, including economic development initiatives, while assisting constituents with resolving their concerns. The Mayor is an elected position serving a term of four years.
Job Responsibilities
- Prepares proclamations, certificates, memoranda, reports, spreadsheets, power points and other materials; some of which may be confidential in nature.
- Assists with various initiatives such as the State of the City Address and the Veteran’s Task Force. Coordinates/plans parades, Farmer’s Markets and other events as decided on by Mayor.
- Serves as the receptionist screening telephone calls and visitors. Provides routine and sensitive information, routing persons to the appropriate departments/personnel, or takes messages.
- Attends the Economic Development Committee meetings, records/transcribes meeting minutes, and creates agenda.
- Assists the Mayor with greetings, speeches, ads for print and special projects.
- Coordinates with Emergency Management on State of Emergency Declarations
- Compiles information/data and assists in preparation of the departmental budget. Monitors the Mayor’s budget and provides monthly reports.
- Follows state legislation through the approval process for impact on City and economic development incentives.
- Maintains the Mayor’s schedule and correspondence.
- Manages Committee, Commission, and Board appointments for the Mayor.
- Works with diverse groups.
- Processes invoices, collects funds, and keeps track of receipts in a timely fashion.
- Processes FOIA requests for the Mayor.
- Maintains the Mayor’s website and handles meeting and room scheduling.
- Processes incoming and outgoing mail and prepares mailings.
- Orders, picks up, and sets up supplies for meetings and functions.
- Assists school groups and out-of-state visitors.
- Serves as back up for the Executive Assistant to City Manager in their absence.
- May require assisting the Mayor after hours and/or require a flexible work schedule.
Required Qualifications
- Requires associate degree or the equivalent of two years of college or specialized vocational training.
